Customized Itinerary
Valle Dorado Travel Agency will design a custom-made itinerary upon request, according to the client’s main interest, time of the year, length of stay and availability of accommodations. Once the client approves the final itinerary, we will make all formal reservations to guarantee the operation of the approved final itinerary. Valle Dorado Travel Agency will reserve the right to modify or change part or the whole itinerary due to safety reasons or circumstances out of our control.
Payment policies
Once the final itinerary is approved we will send payment dates from a guarantee deposit to the final payment. Certain properties may require additional deposits to guarantee space, especially during the high season. Guarantee deposit and balance payments will change depending on properties and services booked. In the event of a reservation received after 45 days prior to the arrival date, full payment must be done as soon as we confirm final itinerary.
In case any mandatory prepayment is delayed, Valle Dorado Travel Agency will not be held responsible for any automatic cancellation of these services.
Cancellation policies
Cancellations must be received in writing a minimum of 45 days prior to arrival. In such case, a service charge of $200.00 applies, in addition to any hotel guarantee or services already prepaid.
If you cancel after making the final balance payment, that portion is refundable according to the following conditions:
• For cancellations received 44 to 30 days prior to arrival, 50% of the total amount, minus any additional charge from the properties and services involved in the final itinerary.
• For cancellations received 29 to 15 days prior to arrival, 25% of the total amount, minus any additional charge from the properties and services involved in the final itinerary.
• If cancellations are made 14 to 1 day prior to arrival, no refunds apply.
• Any additional expenses, if any, must be borne by the passenger(s). Once the tour departs, no refund can be made for any feature of the itinerary not used by the passenger(s) during course of the tour.
• We recommend that passenger(s) purchase a trip cancellation insurance policy.
• We reserve our right to change our cancellation policies according to each customized itinerary, if so; we will indicate in written form the policies that apply.
Responsibility
Valle Dorado is only an intermediary between the passenger and the companies which provide the services in the itineraries, such as hotels, transportation companies, restaurants, local airlines, among others. If any supplier of Valle Dorado cancels any part of your trip at any time or if a service is not provided for any reason beyond the control of Valle Dorado after payment has been made, Valle Dorado is not responsible, nor will any refund be given, unless payment can be recovered from the supplier. If any cancellation occurs or a service is not provided because of the fault of Valle Dorado, a refund pertaining to that portion of the trip will be provided.
Valle Dorado Travel Agency acts only as agent for the passenger in regard to travel, whether by road, railroad, boat, airplane, helicopter, horse or any other mean of transportation and assumes no liability for injury, damage, loss, accident, delay, irregularity, etc. which may be occasioned by any reason beyond its control.
Valle Dorado will not refund those who by their own decision/responsibility or negligence decide not to use some or any of the services included in their program and, if this modification(s) implicate any extra fee, the client(s) must cover it. We reserve our right to modify the original itinerary due to circumstances out of our control, as well as exclude a participant whose behavior is an inconvenience to the development of the itinerary without compensation or refund.
Valle Dorado will not accept any responsibility for losses or additional expenses due to the delay or changes in air schedules, theft, loss of (or damage to) baggage or any article belonging to the passengers, sickness, personal health, injuries, death, weather conditions, strikes, fires, explosions, earthquakes, floods, epidemics, conditions of trails, river levels, road conditions, transportation delays, wars, accidents, chance or acts of God, force majeure or any other causes. All such losses or expenses will have to be borne by the passenger, as tour rates provide for arrangements only for the time stated.
Many of the activities could be physically challenging, so every passenger has to check the level of difficulty rating; it is the passenger’s responsibility to judge the appropriateness of these travel activities according to his/her physical capabilities and realize we have no responsibility.
Valle Dorado recommends all participants to be covered by appropriate life, accident and medical insurance and that they are financially responsible for such expenses. Regarding Car Rental and self-driving tour packages; we require that participants obtain a liability and collision insurance that will cover them in Costa Rica. The Car Rentals we work with offer different insurance coverage at their offices. We recommend all participants to insure their personal property from loss and theft, Valle Dorado Travel Agency is not responsible for any costs or losses resulting from such events.
Client's Compliance
The payment of the required deposit or any partial or full payment for a reservation of a tour or an itinerary shall constitute understanding and consent of these Terms and Conditions.
